Ways to Make Weekly Meetings More Productive

 

It seems that "meet" is the new four-letter office phrase; employees all over the world detest dragging out sessions that generate nothing. And with good reason.

Who among us hasn't sat during a meeting thinking about the growing burden while colleagues or the boss talked endlessly about nothing? That is what occurs when meetings at work are just treated as meetings without any consideration on how to make the most of the time provided for the meeting.

Meetings are useful for planning and event organization since they allow for the creation of a planned agenda for the following six months. If meetings are focused, timed, and adhere to an agenda, participants may feel productive rather than irritated after them.

So how do you turn meetings into useful tools for the workplace?

The first action

First, review the overall schedule for the conference. Do you frequently go to various meetings? Do they only show up because it's on the calendar? Do duties related to work get done at these gatherings, or are they mostly for ceremonial purposes?

Try arranging meetings every other week to observe what happens. When there are fewer meetings at work, people might be better prepared and attentive.

Create a meeting agenda that is time-limited, concise, and focused. Send the agenda in advance to ensure that everyone is prepared for the discussion and is aware of any decisions that must be made. If the meeting starts to deviate from the agenda, reel it back in. Any interesting side discussions should be noted and, if they occur, added to the agenda for the subsequent meeting.

Participate in meetings with creativity and fun. If at all feasible, meet outside the conference room. Meet in a local coffee shop if there are less individuals. Do you have a job? Is there a park nearby? The assembly should be held outside. Play a lighthearted YouTube video or tell a few jokes to get the meeting going (but keep them short!). You could be surprised by the power of a minor change in your environment or perspective to inspire creativity.
